Cancellation Policy

At Travel Xpect, we understand that travel plans can change unexpectedly. Whether due to personal emergencies, health issues, or unforeseen circumstances, there may come a time when you need to cancel or reschedule your booking. We strive to make our cancellation process as transparent and fair as possible for our valued clients while adhering to the policies of our partners, hotels, and transport providers.

This Cancellation Policy outlines the improved procedures, charges, and guidelines that apply when you cancel a booking with us. By booking a tour or service with Travel Xpect, you acknowledge and agree to the terms stated below.

1. General Cancellation Guidelines

Booking Commitment

When you confirm a booking with Travel Xpect, we immediately begin the process of securing your arrangements. This involves blocking rooms with hotels, reserving vehicles, purchasing tickets (flights, helicopters, trains), and allocating personnel for your service. Many of these arrangements require us to make non-refundable advance payments to third-party suppliers. Therefore, cancellation charges are necessary to cover these costs and the administrative work involved.

How to Cancel

If you or any member of your party needs to cancel their travel arrangements, you must notify us immediately. Cancellation is effective only when we receive a written notification or an e-mail to that effect from the person who made the initial booking. Verbal cancellations via phone will not be accepted until followed up by a written confirmation.

2. Cancellation Charges

The cancellation charges applicable are based on the number of days before your scheduled departure date that we receive your written cancellation notice. These charges are a percentage of the total tour cost.

*Note: The "Departure Date" refers to the tour start date mentioned in your booking confirmation.

3. Non-Refundable Components

While the standard policy covers general tour costs, certain components of your travel package are governed by stricter policies due to the nature of their pricing.

Flight Tickets

CRITICAL NOTE FOR FLIGHTS:

If you have booked a package that includes flight tickets, please be aware that most economy flight fares are non-refundable by the airlines. Therefore:

• At the time of cancellation, you will NOT get any refund amount for the flight tickets component.
• Zero Refund Policy applies to flight tickets due to economy fare restrictions.
• In cases where airlines carry a partial refund policy, we will pass on the refund amount to you after deducting the airline's cancellation charges and our service fee. However, traditionally, low-cost carrier tickets are fully non-refundable.

Helicopter Tickets (Kedarnath & Chardham)

Helicopter bookings for Yatra are highly sought after and subject to strict government regulation and aviation company policies.

• Helicopter tickets often carry a heavy cancellation penalty, sometimes up to 100% depending on when they are cancelled.
• Refunds for helicopter tickets (if cancelled due to technical issues or bad weather) are subject to the specific aviation company's policy and processing time.

4. Cancellation due to Force Majeure

Force Majeure refers to unexpected external events beyond our control, such as natural disasters (landslides, floods, earthquakes), severe weather conditions, government restrictions, political unrest, or pandemics.

If the tour cannot commence or is interrupted due to Force Majeure:

• If the tour has not yet commenced: We will try to offer alternative dates or a credit note for future travel, subject to the cooperation of our suppliers. Cash refunds may be limited to the recoverable amount from hotels and transporters.
• If the tour has already commenced: If services are cut short due to weather (e.g., Yatra stopped by authorities), we are unable to offer refunds for the unused portion of the tour, as the arrangements were already paid for. However, we will assist you in making alternative arrangements where possible, with any additional costs borne by the traveler.

5. Refunds Processing

Once your cancellation has been processed and a refund amount (if any) is officially agreed upon:

• Processing Time: Refunds generally take 7 to 14 working days to process.
• Method of Refund: Refunds will be credited back to the original mode of payment (Bank Transfer, Credit Card, UPI) used during booking. We cannot issue cash refunds.
• Transaction Fees: Any bank transaction charges or payment gateway fees incurred during the initial transaction or the refund transfer will be deducted from the final refund amount.

7. Date Change & Amendments

If you wish to change your travel dates instead of cancelling:

• We will do our best to accommodate date changes, subject to availability.
• Date changes are treated as a cancellation of the original booking and a re-booking for the new dates. Standard cancellation charges might apply unless waived at our discretion.
• Any difference in price for the new dates (e.g., higher seasonal rates) or amendment fees charged by hotels/transporters will be payable by you.

8. Travel Insurance

We strongly recommend that all travelers purchase comprehensive Travel Insurance at the time of booking. A good travel insurance policy can protect you financially against cancellation fees if you are forced to cancel due to medical emergencies, family issues, or other covered reasons. It provides peace of mind and financial security for your investment.
